Estimates
Build an estimate
Section titled “Build an estimate”An estimate is a list of line items for a customer. Each line has a type:
- Labor
- Material
- Equipment
- Service
Your default tax rate, terms and expiry period (from settings) are filled in for you. You can download any estimate as a PDF.
Share it
Section titled “Share it”An estimate starts as a Draft, which the customer can’t see. Choosing send marks it as Sent and makes its customer link work. The link opens a page showing the estimate with no login needed.
SherDore HVAC doesn’t email the link for you, so copy the link and send it to the customer yourself, by email or text. The status then tracks what happens:
| Status | Meaning |
|---|---|
| Draft | Not sent yet. The customer can’t open it. |
| Sent | The link is live. |
| Viewed | The customer opened it. |
| Accepted | The customer accepted it. |
| Rejected | The customer declined it. |
| Expired | It passed its expiry date without an answer. |
The customer’s side
Section titled “The customer’s side”On the estimate page the customer chooses accept or reject and types their name as a signature. We record the name and the time. Once they’ve answered, the answer can’t be changed, and an expired estimate can’t be accepted.
Turn it into a job
Section titled “Turn it into a job”From an accepted estimate, create a job. The job takes the customer, the property and the title from the estimate, and is linked back to it. You then add the technician and the schedule. See Jobs and scheduling.
Only an accepted estimate can become a job.
Who can manage estimates
Section titled “Who can manage estimates”Everyone except the Accountant role.
